Guidelines for the 2010 Joint NCEA and UNL Extension Fall Conference and Action Team Retreat

County-based State funded Extension Educators and Assistants/Associates
University of Nebraska-Lincoln Extension will pay expenses (mileage [$ .50 per mile], meals (Wed./Thurs.) and lodging (Wed.) at the Ramada Inn in Kearney) for County-based State funded Extension Educators and Assistants/Associates, if you are registered. NOTE: Mileage reimbursement guidelines state: travel expenses incurred between an employees home and work location are considered to be commuting expenses and WILL NOT be reimbursed. UNL's accounting department uses "Map Quest" to calculate mileage.

State/Grant-based Employees
State/Grant funded Extension Educators and Assistants/Associates must submit a University of Nebraska-Lincoln Employee Expense Voucher for mileage and meals, other than conference meals. Submit only one Expense Voucher per person for expenses associated with the 2010 annual conference.

After your signature has been added, mail all Expense Vouchers (one copy only) to your Direct Supervisor for signature before mailing them to Barb Bryan, 211 Agricultural Hall, Lincoln, NE 68583-0703. If expenses are submitted without receipts (for meals) and your Direct Supervisor's or your own signature, it will be returned to you. Expense reimbursement requests must be submitted no later than 60 days after the final day on which expenses were incurred.

County funded Employees
UNL Extension will pay lodging (Wed.) at Ramada Inn, 301 2nd Avenue, Kearney, NE and the conference meals at Ramada Inn and the Banquet Dinner at the Buffalo County Fairgrounds for County funded Extension Assistants/Associates. Counties are responsible for mileage and meals, other than conference meals, for County funded Extension Assistants/Associates, if you are registered.

Campus and Research & Extension Center-Based Extension Specialists, Educators, Assistants/Associates (Managerial-Professional Program Staff) and Unit Administrators

Lodging and conference meals (at Ramada Inn and the Banquet Dinner at the Buffalo County Fairgrounds) will be paid by UNL Extension, if you are registered for the conference. Mileage and meals, other than conference meals, must be paid with Department or other operating funding utilizing normal Employee Expense Voucher procedures.

2010 Lodging CHANGE:
To make lodging reservations at the Ramada Inn, call 800-652-1909 OR 308-237-3141.  Ask for room block "NCEA/UNL Extension".  If you are sharing a room, please provide the name of your roommate when making your reservation.  This will assist clarification at billing time.  Lodging reservation deadline is October 1.  If your lodging reservation is not made by October 1, you will be responsible for finding your own lodging and will only be reimbursed the rate of $72.00, which is the Ramada rate.  Your lodging will be direct billed to UNL Extension this year. You will only be claiming your mileage and any additional meals on an Employee Expense Voucher.  As in the past, UNL Extension will pay for room charge ONLY.  Other incidental charges, such as movies, phone, etc., WILL NOT be paid by UNL Extension.  Please contact Barb Bryan (402-472-3990), if there are any changes to your original reservation.  If you are unable to attend and do not cancel your reservation, you will be responsible for this expense and will not be reimbursed.  You will also be required to sign in at the Conference registration table when you arrive at the conference.

Other Important Information
As always, we encourage car pooling whenever possible. NOTE: If a county vehicle is used, mileage reimbursement requirement is done differently.  A letter (using county letterhead) must be submitted to 211 Ag Hall, Lincoln, NE 68583-0703. Include the date(s) of vehicle use, driver(s) name, total miles traveled and destination. Reimbursement for county vehicle mileage will be made payable to the County in which the vehicle belongs.

If you plan to attend, you must register.  The NCEA/UNL Extension Fall Conference, on-line registration deadline is October 1.  Food, lodging and mileage WILL NOT be reimbursed by UNL Extension if this deadline is missed.  

Please bring your brass NAME TAG, as this will be your meal ticket.
